Data Retention & Deletion Policy
1. Purpose
This Data Retention & Deletion Policy ("Policy") explains how MoniPilot™ ("MoniPilot," "we," "our," or "us") retains, deletes, and manages information associated with your use of the Services.
MoniPilot is designed with a local-first architecture, which means most of your financial information remains on your own device and is not routinely stored on MoniPilot-operated servers.
This Policy should be read together with our:
- Privacy Policy
- Terms of Service
- End User License Agreement (EULA)
- Local Data Storage & Backup Policy
- Security & Encryption Policy
2. Our Data Retention Principles
MoniPilot follows these principles when retaining information:
- We retain only information reasonably necessary to provide the Services.
- We minimize retention wherever practical.
- Financial records remain primarily under the user's control.
- Users control their locally stored financial information.
- Information is securely deleted when no longer required, subject to applicable legal obligations.
3. Types of Information
For the purposes of this Policy, information falls into the following categories:
A. Local Financial Data
Examples include:
- Expenses
- Income
- Budgets
- Categories
- Financial notes
- Reports
- Spending history
- Subscription records
- Warranty records
- Money lent records
- Money borrowed records
- Goals
- User-created financial information
These records are generally stored only on your device.
B. Account Information
Examples include:
- Name
- Email address
- Login credentials (stored securely)
- Authentication identifiers
- Subscription status
- Account preferences
These records may be stored on MoniPilot-operated backend systems.
C. Operational Information
Examples include:
- Security logs
- Authentication logs
- Error logs
- Customer support communications
- Fraud prevention records
- Technical diagnostics
- Audit logs where reasonably necessary
4. Retention of Local Financial Data
MoniPilot does not routinely retain your financial records on MoniPilot-operated servers.
Financial information generally remains on your device until:
- you delete it;
- you uninstall the application;
- your device is reset;
- your device storage is erased;
- you restore another backup over existing data.
You control the lifecycle of your locally stored financial information.
5. Retention of Google Drive Backups
If you enable optional Google Drive Backup:
- Backup files remain stored in your own Google Drive account.
- MoniPilot does not own those backup files.
- You may delete backup files at any time through Google Drive or supported application features.
- Deleting your MoniPilot account does not automatically delete backup files stored in your Google Drive account.
You remain responsible for managing backup files stored in your Google account.
6. Retention of Account Information
MoniPilot may retain account-related information while your account remains active.
Information may include:
- account registration details;
- authentication information;
- subscription history;
- billing references (where applicable);
- security preferences;
- customer support history.
This information is retained only for as long as reasonably necessary to provide the Services and comply with applicable legal obligations.
7. Retention of Subscription Information
Subscription records may be retained to:
- verify premium access;
- process renewals;
- manage refunds;
- resolve billing disputes;
- comply with tax and accounting obligations;
- prevent fraudulent transactions.
Retention periods may vary depending on applicable legal and financial reporting requirements.
8. Security Logs
MoniPilot may retain security-related logs for a limited period to:
- investigate suspicious activity;
- detect unauthorized access;
- protect user accounts;
- diagnose technical incidents;
- improve platform security;
- comply with legal obligations.
Security logs are retained only for as long as reasonably necessary for these purposes.
9. Customer Support Records
If you contact customer support, we may retain:
- emails;
- chat communications;
- support tickets;
- troubleshooting information;
- attachments voluntarily provided by you.
Support records may be retained to:
- resolve ongoing issues;
- improve customer support;
- comply with legal obligations;
- establish or defend legal claims.
10. Analytics and Technical Information
Technical information used for performance monitoring, analytics, crash reporting, or diagnostics may be retained for limited periods necessary to:
- improve application stability;
- investigate software defects;
- improve user experience;
- measure service performance.
Where required by applicable law, appropriate notice or consent will be obtained.
11. Deleting Local Financial Data
You may delete locally stored financial information by:
- deleting individual records within the application;
- clearing application data through your device settings;
- uninstalling the application;
- restoring another backup that replaces existing data.
Once deleted, locally stored information may not be recoverable unless a backup exists.
12. Account Deletion
Where account deletion functionality is available, you may request deletion of your MoniPilot account.
Upon processing your request, MoniPilot will delete or anonymize personal information stored on MoniPilot-operated servers, except where retention is required by:
- applicable law;
- regulatory obligations;
- fraud prevention;
- dispute resolution;
- security investigations;
- tax or accounting requirements;
- establishment, exercise, or defense of legal claims.
Deleting your account does not automatically remove:
- locally stored financial information on your device; or
- backup files stored in your Google Drive account.
You remain responsible for deleting those records if desired.
13. Data Deletion Requests
You may request deletion of eligible personal information by contacting MoniPilot through the contact details provided in this Policy.
Before processing a deletion request, MoniPilot may require reasonable verification of your identity to protect your account and personal information.
14. Legal Retention Requirements
Certain information may be retained beyond normal deletion periods where required by:
- applicable laws;
- court orders;
- government authorities;
- regulatory investigations;
- tax obligations;
- accounting obligations;
- anti-fraud requirements;
- enforcement of legal rights.
Where retention is legally required, MoniPilot will retain only the information necessary to satisfy those obligations.
15. Data Portability
Where supported by the Services or required by applicable law, users may export or retrieve their financial information before deleting their account or uninstalling the application.
Users are encouraged to create a backup before deleting local data or uninstalling MoniPilot.
16. Future Cloud Storage
Future versions of MoniPilot may introduce optional cloud synchronization or cloud storage services.
If such services are introduced:
- additional retention periods may apply;
- users will be informed through updated legal documentation;
- material changes affecting personal data processing will be communicated where required by applicable law;
- additional consent will be obtained where legally required.
17. International Users
Where MoniPilot is made available outside India, retention and deletion practices may be adjusted as necessary to comply with applicable local laws while maintaining the principles described in this Policy.
18. Changes to this Policy
MoniPilot may revise this Policy to reflect:
- changes in applicable law;
- new technologies;
- security improvements;
- operational requirements;
- additional Services;
- future cloud features.
Non-material updates become effective upon publication.
Where required by applicable law, MoniPilot will provide appropriate notice or obtain consent before material changes affecting personal data become effective.
